The NUMBER ONE Rule to Know if Communication Has Occurred

It’s called “confirmation follow-up.”

How many times have you had a conversation, agreed on a course of action, only to have the ball drop because everybody’s looking at someone else as the responsible person?

My example:  I sent a client an email with an attachment of the handout for copying for an upcoming event.  As far as I’m concerned – it’s done.  I arrive at the event the evening before and casually ask where the hand-outs are.  The client says, “I never got it.”  I check back at my office.  I find the email with the attachment in our “sent” box.

We’re clear, you say?  Nope.  It was MY job to make a follow-up phone call to insure that they got the email.   A phone confirmation is good, but a written follow-up is even better.  A quick email that says, “Just want to confirm that you got the hand-out and, as per our signed agreement on January 3, that you’ll have copies printed and ready at the event for your attendees.”

After a meeting, email the other party and write, “As per our meeting, it is my understanding that you will do “X” by this date.  Please confirm. Thank you!”

  2. Great point Linda! Email is great – but it means that you can’t be sure what you sent was received. And so you end up doing twice the work. But you are right, Linda, it is our job to follow up! Great post!
